Price list — conference room Warsaw by the hour

Not for the four-hour block — PLN 3,500 net applies whether 20 or 80 people turn up. For the eight-hour block the price rises with the size of the group: PLN 4,000 net for up to 30 people, PLN 4,400 net for up to 40 people and PLN 5,000 net above 50 people.

The LED screen, the projector, a portable sound system with a microphone, Wi-Fi, water for participants, a flip chart and setting the room up in your chosen layout. We do not charge separately for equipment or for moving the furniture.

Net — we add 23% VAT to every amount. Everything is settled in advance: before the event you receive a pro forma invoice with a payment date, and the VAT invoice follows once the payment has cleared.

The WE Catering package is PLN 136 net per person for an eight-hour day — that covers a coffee break served throughout the day and a two-course lunch. Waiting staff is charged on top: PLN 450 net per waiter for eight hours, with one waiter for every 25 guests started, so a group of 30 means two waiters. We settle the menu no later than a week before the event.

Waiting staff is part of the catering, so it goes into every quote that includes food. It is not a cleaning fee: the waiter collects the catering, brings it up to the 12th floor and lays out the buffet before your guests arrive. Throughout the day they refill the dishes, change them between breaks and keep the room looking at 4 p.m. exactly as it did at 9 a.m. Afterwards they pack everything away and take it with them, so nobody on your side is left tidying up. Up to 25 guests one waiter is enough; above that we add another for every 25 guests started — PLN 450 net for eight hours.

Food on site is provided by WE Catering — this is a rule rather than a preference, so outside catering is not brought in as standard. In exceptional cases, for example a menu we cannot reproduce (a national cuisine, religious requirements, a cake from a specific patisserie), we do allow external catering against a surcharge, a so-called catering fee. It has to be agreed before booking, because it affects the quote. Tell us what you are planning and we will say straight away whether this is such a case.

Yes — we then add PLN 35 net per person for access to the kitchen: coffee machine, kettle, fridge and crockery. It is an option for shorter meetings and smaller groups, such as recruitment days, where nobody sits in the room all day. In this option no food is ordered at all, including from outside — not even a pizza. If the group is to eat on site, the WE Catering package applies.

For video shoots and productions the room is charged at double the hire rate — the starting point is therefore twice PLN 3,500 net for a four-hour block. On top of that we add PLN 35 net per person for use of the kitchen. We do not publish a final figure, because a film crew is sometimes five people and sometimes fifty, and the video village and gear can take up half the room. Tell us the size of the crew and how much space you need — we will send a quote the same day.

As a rule, no — the shortest block is four hours. For short meetings in the workshop room we do sometimes quote for a shorter slot, but it has to be agreed individually.

In four steps, with no surprises. 1. Once we agree on a date, we hold it for you for 48 hours — time to decide calmly, with nothing to pay yet. 2. If you need longer, just say so: we usually extend the hold by a few days. 3. When you confirm, we send a pro forma invoice for the room, with a payment date. 4. Additional services such as catering are invoiced separately, once the final menu and headcount are known. Everything works on prepayment: the full amount is paid before the hire. That way nobody deals with paperwork or payments on the day — you simply walk in and start. The VAT invoice follows once the payment has cleared.

Yes, and it is the most common arrangement for full-day sessions: the presentation in the large room in the morning, then group work on the beanbags in the workshop room after the break. We quote for the pair individually — write to us using the form below, giving the date and the number of guests.
